Stop being your crew's HR helpdesk.

Your foreman is calling about rain-out pay again. Your hourly guy wants to know if he can refuse to sign a write-up. PolicyKeeper reads your handbook and answers your crew over text — from your actual policy, not OSHA, not the internet.

Try It Free 50 free credits/month. No credit card required.

Your handbook has the answer. Your crew can't find it.

Between site visits and bid deadlines, you're answering the same questions every week:

The answers are in your employee handbook. But your foreman is on a roof. Your hourly guy doesn't have a copy. And you're the only one who remembers where the pay-classification section actually lives.

Why it matters more than you think.

Every "quick question" your crew asks you isn't really quick. Three things it's costing the business:

Your time

Five interruptions a week, ten minutes each — that's a half-day a month explaining the same handbook over and over. Time that should be on bidding, scheduling, and running the work.

Your liability

Wrong rain-out answer? That's a wage-and-hour complaint waiting to happen. Write-up without a witness supervisor and a date/time note? That's the wrongful-termination case the lawyer can't defend. One incident pays for years of PolicyKeeper.

Your continuity

When you're on vacation, who answers? Right now: nobody, or the foreman guesses. With PolicyKeeper, the crew gets the same answer from your policy whether you're on site, in the truck, or on a beach.

What your crew sees when they ask.

Two real questions, answered from your handbook in seconds.

Hourly guy · 6:42 AM
He asks PolicyKeeper:
"Do I get paid today? We just got rained out."
PolicyKeeper answers:
On a weather shutdown, hourly employees are not paid for the day unless they elect to use banked overtime as PTO. Salaried employees are paid in full regardless of the shutdown. Source: Employee Handbook §4.2 (Pay on Weather Days)
Foreman · 4:55 PM Friday
He texts PolicyKeeper:
"Can he refuse to sign a write-up?"
PolicyKeeper answers:
Yes — an employee may refuse to sign. In that case the supervisor must bring a second supervisor as a witness and note the date and time of the discussion on the form. The write-up still counts. Source: Employee Handbook §7.3 (Discipline Procedure)

Upload once. Answer questions forever.

Three steps. Takes less than five minutes.

1

Upload your handbook

Employee handbook, safety manual, discipline procedure — PDF or Word. Each upload uses 2 credits.

2

Your crew asks questions

Plain English, the way they'd ask the boss: "Do I get paid for the rain-out?" Each query uses 1 credit.

3

PolicyKeeper answers

Instant answers from your actual policy, with a citation to the section it came from. No "let me ask the boss." No "I think it's in the handbook somewhere."

Built for the field, not the front office.

Works on a phone

Your foreman isn't at a desk. PolicyKeeper works in any browser, any phone, any time. If your crew can text, they can use it.

Citations on every answer

Every answer points back to the exact handbook section. Useful when an employee pushes back, and useful in writing if discipline ever ends up reviewed.

Available 24/7

The rain-out question lands at 6 AM. The discipline question lands at 4:55 on a Friday. PolicyKeeper doesn't keep job-site hours.

Same answer every time

You. Your office manager. The senior foreman. Three different answers to the same question is how policy drift happens. PolicyKeeper gives the same answer to all of them, from the same source.

Update once, propagated everywhere

Update your handbook? Re-upload. The new policy takes over instantly. No re-distributing PDFs to a crew that wouldn't read them anyway.

Database-level data isolation

Your handbook is stored in a database that's yours alone. Not shared with other contractors. Not used to train AI models. Just yours.

Questions? We've got answers.

We already have an employee handbook. Why do we need this?

You have the handbook. Your crew doesn't — not when they need it, on a job site, with mud on their boots. PolicyKeeper makes the handbook answer the question instead of you.

Will my foreman actually use it?

If he can text, he can use PolicyKeeper. Plain-English questions, no menus, no app to install. We built the interface for someone holding a phone in a glove.

Is this an OSHA tool?

No — it's a "your company's policy" tool. PolicyKeeper answers from your handbook, not OSHA's website. When OSHA and your company differ, your company's stricter standard is what your crew sees.

How accurate are the answers?

PolicyKeeper only answers from documents you've uploaded, and every answer cites the source section. It doesn't make things up and it doesn't pull from the internet. If the handbook doesn't cover it, PolicyKeeper says so.

What about Spanish-speaking crews?

Crews can ask questions in Spanish and PolicyKeeper answers in Spanish — from the same English handbook. The citation still points to the original section.

Is my data secure?

Yes. Each company's data is isolated at the database level — not just in the UI. Your handbook is never shared with other companies and never used to train AI models.

We already have SharePoint / Google Drive.

You can store your handbook there. Your crew can't ask it questions. PolicyKeeper adds the Q&A layer your file storage doesn't have.

Construction owners I talk to all say the same thing: the handbook is fine, the policies are written, but their crew is on a roof and they're the only one who can answer a question. That's the gap PolicyKeeper closes.

Upload your handbook. Your crew asks. They get an answer with a citation. That's it.
